Talk Administrator Dashboard

UKG Talk ® is a communications and collaboration platform that allows your organization to connect with employees through an activity feed, groups, assigned tasks, direct messaging, and interactive apps and events.

The Talk Admin Dashboard is a secure, browser-based application that gives Talk administrators the tools to:

  • Create and manage Talk user groups to facilitate peer-to-peer and team collaboration.
  • Provide timely communications to all employees, user groups, and specific individuals.
  • Deploy and manage content including events, meeting invites, polls, surveys, and announcements.
  • Monitor Talk analytics for insights into how users interact with Talk activities and functionality.

Most Talk configuration, monitoring, and managing is performed in the Talk Admin Dashboard. Some admin actions can also be performed in Talk desktop and mobile. Creating and assigning Talk tasks is performed from the Talk desktop or mobile.

Note: Admin actions described in the online help are for the Talk Admin Dashboard unless otherwise noted.

Synchronization

UKG Talk is integrated and synchronized with the people information in your parent product (the product you are licensed to use). After the initial implementation, when synchronization runs, it imports the data deltas into Talk. The synchronization only runs for users whose Talk configurations have changed since the last sync. The interval between sync runs is configurable, although once every 24 hours is recommended. Consult with your Service Representative to decide the right sync interval for your organization. Admin User Roles

Administrator roles determine the permissions and privileges assigned to a user to monitor and manage Talk activities. Role permissions ensure that Talk admins have control over the information they share, management of members, groups, activities, and other administrative actions. See Manage Talk Admin Roles.

User Access to Talk

User access to Talk (including the Talk Admin Dashboard) is based on the entitlement set in the UKG parent product. All Talk users need to be assigned an Hourly or Salaried Timekeeping license and the Communications license. This enables the Talk Feed shortcut and the Communications tile on the parent product's Home page, allowing users to access Talk features.

Feature switches are available to enable chat, feed, and the What's Happening Talk post carousel displayed on the UKG Pro Workforce Management Home screen/page. When users tap/click the Feed icon, Talk opens showing the full Feed. For information see Prerequisites.

Note: If your parent product is UKG Pro Workforce Management, Talk users must also be assigned a UKG Pro Workforce Management user role, either Employee or Manager.

Note the following guidelines:

  • When an employee's license for Communications is removed, the employee will no longer have access to Talk after the next synchronization.
  • When users log out of Talk, their current session ends and they are also logged out of the parent product.
  • It is recommended that only one user account accesses Talk on a device at a time. If one user account is currently logged in to Talk when a second user account logs in, the first user account will be automatically logged out.
  • For the best performance, users should open Talk on a mobile device or the desktop. Using Talk on a mobile device web browser is not recommended.

Data Encryption

All Talk data at rest and in transit is encrypted using Google Key Management Service (KMS) symmetric key. It uses an Advanced Encryption Standard (AES) algorithm to encrypt data at rest. All data at the storage level is encrypted by Data Encryption Keys (DEKs), which use AES-256. The encryption key is rotated once every 90 days.
