Using Shift Incentives

You can use the AI-powered shift incentivization functionality in the Schedule Planner to apply incentives to open shifts, view incentive information, and notify eligible employees about incentivized open shifts.

Note: You must have been given the appropriate access to use this functionality.

In the Schedule Planner, select Incentives to access the Incentives view and display the Incentives action bar. The Open Shifts section of the schedule expands to show the open shifts incentive information, fill rate and coverage impact, and ease-of-fill indicators. Incentivized shifts are visually marked with an incentives icon to distinguish them from non-incentivized shifts. To close the Incentives view, select Incentives again on the action bar.

Note: Incentives and incentive-related actions are not available when the selected location is None or Hyperfind, the selected location or timeframe has no open shifts, or the Schedule Planner is displayed in Job View.

Open shifts in the Incentives view display the following information:

  • Fill rate: The ratio of open (unassigned) shifts to required shifts (assigned + open shifts).
  • Coverage impact: The contribution of the open shift to reducing the undercoverage if the open shift were filled. It is based on the coverage count information for the span of time covered by the open shift.
  • Hard-to-fill indicator: Visual indicators that denote the hard-to-fill prediction (hard to fill, moderate to fill, easy to fill open shift prediction)
  • Visual incentive icon to distinguish incentivized shifts from non-incentivized shifts
  • Incentive name and amount

The fill rate, coverage impact, incentive name, and incentive amount also display in the open shift editor, as well as the open shift glance and tooltip.

You can perform the following tasks using options on the Incentives action bar:

  • Generate Predictions: Computes hard-to-fill predictions for all open shifts loaded in the Schedule Planner reflecting the probability of an open shift to remain unfilled.
  • AI Recommendations: Requests an AI-powered incentive recommendation driven by the shift’s prediction to remain unfilled. You can either automatically apply the incentive recommendations to all open shifts that are predicted as hard to fill or to explicitly-selected open shifts regardless of their hard-to-fill prediction.
  • Remove Incentive: Removes incentives from open shifts you no longer want to incentivize.
  • Notify Open Shifts: Notifies eligible employees (by email, push notifications on mobile, or Control Center notifications) of incentivized open shifts based on their likelihood of picking up the open shift. You can send notifications for all incentivized shifts or for shifts that you explicitly select. Use the Call Log in the Schedule Planner Audit tab to track which employees are notified of incentivized shift recommendations and the employee responses.

Generate Predictions

For all open shifts loaded in the Schedule Planner that lack predictions, you can have the system generate predictions for which open shifts are hard to fill. You can then incentivize those shifts to increase their fill rates.
  1. Save the schedule.
  2. SelectGenerate Predictions. The AI predictor assigns a probability score to any new open shifts that have been created since the last prediction generation, which translates into a visual indicator (hard-to-fill, easy-to-fill, or moderate-to-fill) that displays on the open shifts. indicator displays on the open shifts that the system computes as hard-to-fill shifts.
    Note: Training data of at least 100 open shifts must be available to generate predictions. If training data is missing, an error message displays.

Apply AI Recommendations

You can request AI-powered incentive recommendations t driven by the shifts' prediction to remain unfilled. The incentive recommendation can then be applied to all eligible open shifts or to explicitly selected shifts. With dynamic pricing, the incentive amounts are automatically adjusted based on staffing levels.
  1. Select AI Recommendation.
  2. Select either Apply to all eligible shifts or Select shifts.
    • Apply to all eligible shifts: Applies the incentive only to open shifts that are predicted as hard-to-fill shifts (shifts whose probability to remain unfilled is above the default threshold value).
    • Select shifts: Select the open shifts to which you want the incentive applied. This option ignores the default probability threshold. It will incentivize any selected shift regardless of its probability prediction score.

    When the incentive has been added, the Incentive icon, incentive name, and incentive amount displays on the shifts.

  3. Select Save.

Remove Incentives

You can remove incentives from open shifts that you no longer want to be incentivized.
  1. From the Action Bar:
    1. Select Remove Incentive.
    2. Select one or more open shifts from which you want to remove the incentive. The incentive information is removed from the selected shifts.
    3. Select Save.
  2. From the shift glance:
    1. Right-click on an open shift.
    2. Select Remove Incentive. The incentive information is removed from the shift.
    3. Select Save.

Notify Employees about Open Shifts

After incentivizing shifts, you can notify eligible employees based on their likelihood of picking up the shifts. You can either send notifications for all incentivized shifts or for shifts that you explicitly select.

Eligible employees are derived from matching rules of a procedure set or an employee's primary job or job transfer set.

Employee preferences are inferred from the AI-powered preference scoring model that scores the attractiveness of an open shift to each employee.

  1. To send notifications for all incentivized shifts:
    1. Select Notify Open Shifts on the action bar.
    2. Select All incentivized shifts.

      The system identifies the incentivized open shifts for which notifications can be sent, which are those that have been created or modified since the last notification. For example, open shifts that have been incentivized since the last notification or existing incentivized shifts that have already been notified but have since been modified (such as a change to the shift length, start and end times, job, location, or incentive amount). Daily repriced shifts are not subject to new notifications.

    3. Specify the employee notification criteria:
      1. In Location filtering, select whether to target employees based on their Primary Job Only (default), Primary Location, or Employee Job Transfer Set.
      2. (Optional) In Preference match, enter a percentage value (between 0 and 100) to filter employees based on the shift attractiveness score with employees' inferred preferences. A lower percentage match will target more employees, but they will be less of a match for the selected shifts. A higher percentage match will target less employees, but they will be a better match for the selected shifts.
      3. (Optional) In Procedure set, select a procedure set to control employee filtering and shift matching criteria.
    4. To review and adjust the list of shifts prior to notifying employees, expand Incentivized shifts. The incentivized open shifts display in chronological order, allowing you to view the number of incentivized shifts available each day and for each job.
      You can expand the list of shifts of each day and job with their respective incentive amount. You can also deselect any shifts that you want to exclude from the notification list.
    5. Click Yes, notify to send notifications about the available incentivized open shifts to the employees who match the criteria.
  2. To send notifications for selected shifts:
    1. Select Notify Open Shifts on the action bar.
    2. Select Select shifts.
    3. Select one or more shifts for which you want to send notifications.

      You can select shifts for which notifications have already been sent, regardless of whether the shift has been modified. You may want to resend notifications in this case where the initial notification did not generate responses.

    4. Select Confirm Shifts.
    5. Specify the employee notification criteria:
      1. In Location filtering, select whether to target employees based on their Primary Job Only (default), Primary Location, or Employee Job Transfer Set.
      2. (Optional) In Preference match, enter a percentage value (between 0 and 100) to filter employees based on the shift attractiveness score with employees' inferred preferences. A lower percentage match will target more employees, but they will be less of a match for the selected shifts. A higher percentage match will target less employees, but they will be a better match for the selected shifts.
      3. (Optional) In Procedure set, select a procedure set to control employee filtering and shift matching criteria.
    6. To review and adjust the list of shifts prior to notifying employees, expand Incentivized shifts. The incentivized open shifts display in chronological order, allowing you to view the number of incentivized shifts available each day and for each job.
      You can expand the list of shifts of each day and job with their respective incentive amount. You can also deselect any shifts that you want to exclude from the notification list.
    7. Click Yes, notify to send notifications about the available incentivized open shifts to the employees who match the criteria.
  3. To use the Call List:
    1. Right-click the open shift and select More actions > Call List in the glance.
    2. In the Call List slider, accept the selected open shift or choose a different shift, then select Next.
    3. In Employee Filtering, in Preference Match, enter a percentage value (between 0 and 100) to filter employees based on the shift attractiveness score with employees' inferred preferences. A lower percentage match will target more employees, but they will be less of a match for the selected shifts. A higher percentage match will target less employees, but they will be a better match for the selected shifts.
    4. In Procedure Set, select a procedure set to control employee filtering and shift matching criteria.
    5. In Locations & hyperfinds, select a location to find employees.
    6. Select Apply.
      A list of employees for whom the shift falls within the employee preference threshold and matches the procedure set rules is displayed.
    7. Select one or more employees who you want to notify.
    8. Select Offer.
    9. In the Review slider, select Send.
