Configure Request Submission By Employee Priority

Use this feature to open and close the employee submission period in a sequential manner, according to seniority or ranking within the organization.

To create employee priority:

  1. If you have not already, use the Priority Schedule Engine to build a procedure set that sorts by employee context.
  2. Click Tap Main Menu . Select Application Setup > Employee Self Service > Request Submission by Employee Priority.
  3. Click Tap Create .
  4. Enter a unique Name.
  5. (Optional) Enter a Description.
  6. Select a procedure set Sorts employees, matches employees to an open shift, and assigns employees with the best match. from the drop-down menu for Order employee using. Only procedure sets with a Sort Employee context are displayed in the list.
  7. Click Tap the days in the table under Submission Permitted on Selected Days Only to select the days that employees can submit requests. At least one day must be selected.
  8. Under Permitted Submission Start Times for Selected Days, enter the Start Time from. The default is 7 AM.
  9. The start time must be less then end time
  10. Enter the To (end) Time. The default is 7 PM.
  11. The end time must be greater than the start time.
  12. Under Open Submission Period, select whether to
    1. Distribute equally based on total span of the submission periods available by entering the minimum time allocated between two employee time slots.
    2. Open on fixed interval time by entering the exact hours and minutes between employee submission periods. Enter a value in minutes between 0:15-500:00.
  13. Under Close Submission Period, select whether to close the submission periods All at the same time or Close when opening for next employee.
  14. (Optional) In Next submission periods, specify how you want the system to treat remaining submission periods in a group organized by rank or seniority when one employee submits their last self-schedule request:

    • Open the next employee’s submission period when the previous employee's request is submitted. This has the effect of extending the next employee's submission period open time to the time the previous employee's submission period closed, allowing them to start submitting requests earlier than scheduled.
    • Adjust the submission periods of all remaining employees in the group: the length of the submission periods remains the same, but the open and close times are all adjusted — made earlier — based on the close time signaled by the first employee’s request submission.

    If you choose neither option, established submission period open and close times remain in effect for all remaining employees in the group.

  15. (Optional) Under Notification Method
    1. Click Tap the drop-down arrow to select a notification type to notify the employee of the time the submission period begins. Enter the number of days prior to the submission period to notify the employee.
    2. Click Tap the drop-down arrow to select a notification type to notify the manager when the submission period is shorter than the sum of all the employee's time slots.
  16. Repeat steps 2-13 to create more configurations, if needed.
  17. Open an Employee Visibility Period Defines both the period when employees can submit requests (submission period) and the period when those request can be applied (request period).:
    1. Click Tap Main Menu  > Maintenance > Employee Visibility Periods The time period during which specified open shifts are visible to specified employees..
    2. Select the checkbox Open Submission period by employee priority.
    3. Select the configuration that you want to use.
