Previous actions policies

Previous Actions policy rules are based on the occurrences of previous actions. For example, if an employee receives three verbal warnings in a 12-month period, that employee should also receive a suspension. The policy can contain rules that trigger another action, trigger a notification or alert, reset or adjust a point balance, or move the employee to a different discipline level Transfer an employee from one attendance policy to another discipline level following occurrences of attendance events. Create the previous action policy

  1. Select Administration > Application Setup > Attendance Setup > Attendance Policies.
  2. Select New.
  3. Select Previous Actions and then select Next.
  4. Enter the Policy Name and the Discipline Level to enforce when employee attendance violates this policy.
  5. On the General Tab complete the following:
    1. (Optional) Enter a Policy Description.
    2. (optional) Enter an Attendance Detail Label.
    3. Select a Reference Start Date from the drop-down.
    4. In Policy Processing Exemptions choose options:
      • Select Extends tracking periods check box
      • Select a combined event that includes criteria to extend the tracking period.
  6. On the Rules tab complete the following:

    You must specify at least one response that is an action or a change to the discipline level.

    1. In the Previous Action column, select an action to trigger a response when the action occurs.
    2. In the Incident Number column, enter the number of times that the previous action must occur before triggering the response.
    3. (Optional) In the Resulting Action column, select an action to take when the previous action occurs.
    4. (Optional) In the Move Employee to Discipline Level, choose the discipline level to apply when the previous action occurs.
    5. (Optional) Select Proceed After Discipline Level Change if you would like to continue processing all remaining rules and policies of the original discipline level or stop processing for the day following the level move. By continuing to process additional rules and policies, if the employee qualifies for multiple discipline-level moves on the same day, the employee remains in the level-move that is processed last.
    6. (Optional) In the Balance Modification column, select one of the following:
      • Balance Reset
      • Balance Adjustment

      If the Rule Balance Reset and the Tracking Period Balance Reset for the policy are resetting the same balance, the Tracking Period Reset for the policy takes precedence. If the Rule Balance Adjustment and the Tracking Period Balance for the policy are modifying the same balance, the two balance amounts are added.

    7. (Optional) In the Amount column, enter the value of the balance modification. the amount should meet.
      • If you choose Balance Reset, the amount must fall within the minimum and maximum range for the balance type.
      • If you choose Balance Adjustment, the amount must be less than the difference of the minimum and maximum values.
    8. (Optional) In the Balance Type column, select either a Points & Occurrences or Time balance type from the drop-down.
    9. (Optional) In the Expiration Period column, the visible option can be changed to None to prohibit expiration or choose from the drop-down to set the expiration day.
    10. (Optional) In the Extends Expiration Period column, select which combined event should extend the expiration period. If the Expiration Period is None, this option is disabled.
    11. (Optional) In the Alert column, choose an alert to notify recipients, such as managers or employees, when the policy rule is triggered.
  7. Click Save.
